COPILOT READINESS AND GOVERNANCE
Microsoft 365 Copilot answers from what each person can already open, including the folders that were shared too widely years ago. We test the sharing and the labels first, scope a pilot group, and put the cleanup where the pilot proves it is needed.
HOW IT WORKS
WAYS TO START
Test what a cohort can reach before you add Microsoft 365 Copilot seats.
See the engagementClose the oversharing (files shared with more people than intended) before Microsoft 365 Copilot goes live.

See the engagementTHE WOUND
By saying yes in a tested order: test the sharing and the labels for a pilot group first, hold the sites still under review out of discovery, fix what the pilot finds, then widen, with each step recorded.
The CEO wants the quarter, the CFO wants a number and compliance wants a record. The one-page Tested or Assumed record is written for all three, in your words, and it is the first thing this engagement produces.
THE MICROSOFT INSIGHT
Only content the signed-in user already has at least view permission to see, which means anything shared too widely is findable from day one.
Microsoft 365 Copilot returns only content the signed-in user already has at least view permission to see, so anything shared too widely is findable from day one. (Microsoft Learn, checked Oct 31, 2026)
Test the pilot group's access first and the oversharing lands in your report. Skip it and the oversharing lands in a Copilot answer to the wrong person.
THE METHOD
Read the posture, record tested versus assumed, scope the pilot and hold the rest, then widen on your written decision.
THE HOLD
Yes: Restricted Content Discovery keeps a chosen site out of organization-wide search and Copilot answers while its permissions are reviewed, without changing who can open the files.
Restricted Content Discovery in SharePoint keeps a chosen site out of organization-wide search and Microsoft 365 Copilot answers while its permissions are reviewed, without changing who can open the files; Restricted SharePoint Search is retiring and new enablement has been blocked since July 31, 2026. (Microsoft Learn, checked Nov 1, 2026)
Hold the unreviewed sites and the rollout starts with the pilot group. Wait for the whole estate and the rollout starts next year.
THE FIRST RUNG
With the free Copilot readiness check, then the read-only assessment, then a scoped pilot whose widening is your decision, wave by wave.
Microsoft Purview Data Security Posture Management for AI shows oversharing and risky prompts in one posture view, and Hartwell Episodes 2 and 3 show the same controls on fictional data. Microsoft-funded where you qualify.
AFTER TWO WEEKS
The work is delivered remotely inside your own Microsoft tenant, wherever your business is, and on site only when the work needs it.
HONEST ABOUT LIMITS
It does not stop a person typing a client's name into a prompt. Blocking a Copilot or Cowork response when the typed prompt contains chosen sensitive information types is in preview and rolling out to tenants. (Microsoft Learn, checked Oct 31, 2026, preview) So the controls that are generally available run first: labels and data loss prevention (DLP) on the files, scoped access, and a person at the gate.
It does not widen Copilot to the firm: each wave is your written decision after the previous one has produced evidence.
It does not make a compliance claim for you: the record is produced, your compliance officer owns the attestation.
THE ONE THING TO REMEMBER
Said another way: hold the unreviewed sites, pilot the tested group, widen on evidence.
Said a third way: yes to the CEO, in a tested order.
SHOW YOUR WORK
A person checks a proposed sharing decision and its evidence.

Yes, when the pilot group's access is scoped and tested first and the sites still under review are held out of discovery. The cleanup then runs where the pilot proves it is needed.
A SharePoint site setting that keeps the site out of organization-wide search and Copilot answers while permissions are reviewed, without changing who can open the files. The older Restricted SharePoint Search allow list is retiring.
The one-page Tested or Assumed record, the Purview posture report, the pilot group's access test and the widening decisions, in the format agreed before the pilot.
The read-only assessment is typically two weeks and ends in the record and the pilot scope. The schedule is agreed in the scoping call.
Quoted after a scoping call. The assessment is scoped separately from the pilot and the cleanup. Microsoft-funded where you qualify.
